Student Visa and Permit - New Application

All foreign students must obtain a student visa and related permit before studying at our University. The following are the visa/permit components that are compulsory to be acquired at different timing:

 

PRIOR ARRIVAL:

VITAS (Visa Ijin Tinggal Terbatas / Limited Stay Visa)

 

AFTER ARRIVAL / DURING STUDY PERIOD:

  • ITAS (Izin Tinggal Terbatas / Limited Stay Permit - for study) - conversion of VITAS; must be renewed every 1 or 2 years (depends on the visa period granted by the Immigration)
  • Study Permit Recommendation Letter - must be renewed every 1 or 2 years (depending on the granted period)
 
BEFORE DEPARTURE / UPON STUDY COMPLETION OR WITHDRAWAL OR DISMISSAL:
  • EPO (Exit Permit Only) - one time process

 


INBOUND EXCHANGE / STUDY ABROAD STUDENT

FULL-TIME INTERNATIONAL STUDENT / INTERNSHIP

If you are an international student with foreign nationality (of all majors including ITC, study abroad student), you must be accepted and pay the admission fee first to apply for Study Permit and Student Visa (ITAS).

 

IMPORTANT! Please note that the earliest visa application for new students attending the Odd Semester (August) will be processed in May (same year). Visa application's request before that will be suspended until then.

 

Students who already own an ITAS from the previous sponsor (i.e. College/High School, Parent's Company, etc.) must change the ITAS Sponsor into UPH's Sponsored. To change the ITAS sponsor student will need to apply for EPO (Exit Permit Only) and leave Indonesia within 7 days after the EPO issuance date. This means that students must go through the whole ITAS process from the beginning again (which then also requires student to travel overseas again for collecting the visa). 

 

There is a way to save the cost of traveling overseas twice, but this can only be done if there is at least 3 months before the class begins. Here is what the student would need to do to avoid double traveling cost:

  1. Do the normal process explained in the table below (point number 1 to 5)
  2. Inform the visa agent/broker where you would collect the visa when the Telex is issued. The visa (VITAS) can only be collected at the Indonesian Embassy (KBRI) overseas. 
  3. Wait until your Telex is approved and issued, and then apply for EPO (Exit Permit Only) at the Immigration. EPO process takes 2-3 working days.
  4. Do NOT leave Indonesia BEFORE your EPO is issued. Plan your departure carefully as you will have to leave Indonesia within 7 days after the EPO is issued.
  5. Once your Telex is issued and sent to you via email, you may collect your visa (VITAS) at the Indonesian Embassy (KBRI) or Indonesian General Consulate. Then follow the rest of the procedure.

Student must send these following SCANNED documents (no. 1 to 8) via e-mail to UPH International Office (international@uph.edu). Scan and save EACH file in JPEG file, 150 - 250 KB.

 

In the case where the student is already in Indonesia and decided to process the visa on their own or using their own broker/agent, student will still need to process the Study Permit and obtain the Sponsor Letter from UPH International Office.

  5. Current Medical Statement (issued by a doctor from hospital/clinic)
  6. Current Official Academic Transcript / Diploma

  8. Current Bank Statement or Savings Account Records (must have a Bahasa Indonesia or English translation) with a minimum balance of USD 1,500 or equivalent. (NOT required for ITC Scholarship Students)
  9. Financial Statement (NOT required for ITC Scholarship Students, as a substitute, ITC scholarship recipients must submit the copy of Scholarship Contract)
  10. Acceptance Letter/ Offering Letter from UPH Admission - only applicable to new students. (Existing student must submit “Surat Keterangan Mahasiswa Aktif” issued by Registrar's Office - ADAK at Building A, 3rd Floor)
  11. Proof of Tuition Fee Payment (bank’s / ATM's receipt) - Only applicable for new students.

Payment

&

Verification

 

Upon receiving the Acceptance Letter, student should begin the process of applying for the Study Permit and Student Visa. By law, any foreigner who studies in Indonesia must obtain VITAS & ITAS- Visa Izin Tinggal Terbatas (Limited Stay Permit), as well as Study Permit which process should be initiated before arrival at Indonesia (explained further in the section "Visa Information" below).

 

 

The visa process can be assisted by a qualified Visa Agent. Visa and permit handling fee/agent service fee usually need to be paid in advance. The whole process for getting the visa (VITAS) may take up to 4 weeks, therefore we advise you to settle the visa payment at the soonest.

 

 

IMPORTANT: For students who use the recommended agent from UPH, the amount and payment details will be notified via email. And your visa will be processed once the visa payment is verified. Student must submit the bank’s payment copy receipt (via email) for verification purposes.

 

Please do inform the agent/broker (if any) where you would like to collect the visa. The visa has to be collected at an Indonesian Embassy / KBRI overseas.

Study Permit Online Application

 

After visa payment is complete and verified, UPH International Student Support will assist student with the Study Permit process by completing an online application and uploading student’s files (only complete documents will be uploaded) at KEMDIKBUD – Kementerian Pendidikan dan Kebudayaan Republik Indonesia (Ministry of Education and Culture) online portal.

Study Permit Process & Issuance

 

By default, KEMDIKBUD will hold a Clearing House (CH) Meeting which will be attended by relevant government officials to evaluate, and review the visa/permit application of any foreign students in Indonesia.

 

 

At the CH Meeting, the KEMDIKBUD will either approve/denied the Study Permit application. If approved, the Study Permit will be issued in approximately 1-2 weeks.

 

After the Study Permit is issued, students should make a copy of the Study Permit and submit it to the Registrar's Office (ADAK) – Building A, 3rd Floor.

 

NOTE:

- Generally, the Study Permit application and issuance process takes approximately 1-2 weeks. Should there be any long weekends / public holiday in the month calendar; the process may take longer than that.

- Study Permit must be submitted to ADAK to allow students to join the mid-test and final examination.

Telex Process at the Immigration

 

After the Study Permit is issued, the next process will take place at the Immigration. The process normally takes approximately 7 working days if there is no issue occurred during the process.

 

Starting from April 2017, Telex Visa application can only be processed via online and an institution is only allowed to have a single account that can be opened at one device at a time. The process for uploading documents must go through UPH International Student Support, and therefore students and their agencies must not request a new login account to the Immigration as it would cause unnecessary delay and issue for the Telex process.

 

Student should have their own Visa Agent/Consultant to assist with the process of follow-up to the Immigration after the upload process is completed by UPH International Student Support, as well as assist student with the visa payment through the national bank appointed by the Immigration (i.e. Bank BRI - Bank Rakyat Indonesia).

 

Once the online application is approved and the payment is received, the Immigration will send a Telex (Visa Approval) and sent it to UPH International Student Support via email. The scanned copy of the Telex will be forwarded to the student by email and it must be printed out to collect the visa at the Embassy.

Visa (VITAS) Collection

Upon telex issuance, Student should contact the Embassy to arrange the visa collection.

 

Upon collecting the visa, student is required to submit a copy of the telex and passport, also complete a form at the designated embassy overseas. An amount of fee* will be charged by the embassy and normally it takes from 3 to 5 working days before the visa can be collected.

 

*The fee for 1-year VITAS is USD 105, and 2 years VITAS costs USD 180. Please double-check the KBRI website prior to your visit.

Arrival in Indonesia

&

Report to Immigration

 

Once you have the visa (VITAS), you may then start to purchase the flight ticket and plan your departure.

 

We strongly advise you to arrive at Jakarta before traveling or going to other parts of Indonesia. The reason is that you must report to the Immigration within 7 days upon the arrival.

* ITC Scholarship students must submit their Passport to the Immigration through International Student Support.

 

IMPORTANT: Consequences of late report to the Immigration will result in overstay penalty (IDR 1,000,000/ late day).

E-ITAS Biometric

 

Within 5 to 7 working days after report to the Immigration, you will be notified to go visit the Immigration Office to have a brief interview, photograph, and finger-print taken.

E-ITAS Issuance

In about 1 week later, the Immigration will issue an E-ITAS (Electronic Limited Stay Permit) & Limited Stay Permit Stamp on your passport.

 

Make sure you bring your E-ITAS at all times. Should you lose the E-ITAS paper, please contact your agent/Immigration to re-print your E-ITAS.

E-ITAS & Study Permit Renewal*

 

E-ITAS and Study Permit are valid either for 6 months, 12 months or 24 months, depending on the validity period granted by the Ministry of Education and Culture and the Immigration. 

 

IMPORTANT!

Students are responsible to ensure that the E-ITAS & Study Permit are renewed in time (before the expiration date). The renewal process shall be initiated at least 3 months before the expiration date. Please note that the E-ITAS can only be renewed and cannot be extended.

EPO**

 

Before leaving Indonesia permanently due to the following reasons, students must apply for the EPO (Exit Permit Only) at least 2 weeks before the departure date:

 

  • Completion of Study
  • Return to home country for good
  • Dismissed / Dropped Out (DO)
  • Withdrawal / Resignation

 

To process EPO, the student must do the following:

  • Pay the EPO fee
  • Submit passport; and
  • Return KITAS Card

 

IMPORTANT!

Student is advised to inform the Departure Date to UPH International Student Support and should NOT book/purchase the flight ticket before the EPO is issuedThe EPO process takes 2-3 working days, and student must leave Indonesia within 7 days after the EPO stamp is done.

 

 

VISA ADDITIONAL INFORMATION 

 

Student Visa. (code: 316)

Compulsory to be processed for any foreign student studying at UPH. The application process will initially take place at the Immigration Office in Indonesia and students must travel overseas to collect the visa (VITAS) and pay the collection fee at the Indonesian Embassy (KBRI). Student Visa comprises of VITAS - Visa Ijin Tinggal Terbatas (Sticker Visa obtained at the Embassy) and ITAS - Izin Tinggal Terbatas (Limited Stay Permit Card/Paper issued by the Immigration after Biometric is done).

  • VALIDITY: 6 months, 1 year or 2 years. Renewable for up to a maximum of 4 times.
  • PROCESSING FEE: +/- IDR 7,000,000 (include with Study Permit and KITAS package fee)***
  • COLLECTION FEE: USD 105 for 1-year visa / USD 180 for 2 years visa (this fee is charged by the Indonesian Embassy - KBRI overseas upon collecting visa). Please double-check the KBRI website prior to your visit.


MERP (Multiple Re-Entry Permit).

As of January 2017, MERP is already integrated into the E-ITAS process. As soon as the E-ITAS is issued, the MERP is already included. 

  • VALIDITY: same as VITAS (1 year or 2 years) depending on the granted visa period.

 

ITAS (Limited Stay Permit)

ITAS is used to be a single entry stay permit card, which is granted to visitors who come to Indonesia with the purpose of study, research, business, sports, and social activity, etc. There are two types of ITAS which are used for either work OR study purpose. Study ITAS cannot be used for work and vice versa.

As of January 2017, the Immigration no longer issues the KITAS card, instead, they issue an E-ITAS in paper (with Barcode) and it now includes a Multiple Exit Re-Entry. The ITAS process requires Passport and Biometric (fingerprint & photograph) and a short interview during the visit to the Immigration.

If the E-ITAS paper is lost or damaged, the student may request the agent/Immigration to re-print the E-KITAS paper with no charge. 

  • VALIDITY: 6 months, 1 year or 2 years (ITAS validity replaces the VITAS expiration date)
  • PROCESS DURATION: 3-7 working days

 

Exit Permit Only (EPO). 

MUST be processed at the end of the study / dismissed from faculty/resignation from the University. Requires passport and ITAS to be returned to the Immigration through International Student Support. 

  • VALIDITY: 7 days (must leave Indonesia within 7 days after EPO is issued)
  • PROCESS DURATION: 2-3 working days.
  • PROCESSING FEE: +/- IDR 500,000***



ITAS RENEWAL.

You need to contact International Student Support to get the Sponsor Letter for renewing your ITAS. Fill out the Application Form for Student Visa and Permit according to your categories (full-time international / study abroad / exchange OR ITC student) and then submit to the form along with the required documents to International Student Support (International Office, Building C, 3rd Floor). The sponsor letter is free of charge and takes 1 (one) working day to process.
